Before using ChatGPT for any case work, establish this habit:
Replace before pasting:
The meeting content (what happened, what was discussed, what progress was made) can be de-identified and still produce useful notes. This protects client privacy and keeps you within your agency's confidentiality policy.
In ChatGPT, type the following. This is your base template:
You are helping a case manager write professional progress notes. Write a progress note from the following meeting points. Format: [describe your agency's required format — e.g., "Date, meeting type, status update, goals progress, actions taken, referrals, next steps"]. Tone: professional, objective, third person. Length: [your target length, e.g., 100-150 words].
Meeting notes: [your bullet points]
Send it with a real example from today. Read the output and note what needs adjustment.
What you should see: A complete progress note that sounds like something you'd write: professional, objective, past-tense language.
Most agencies require specific sections in progress notes. Add them to your template. For example, if your agency uses the DAP format (Data, Assessment, Plan):
Write a progress note in DAP format from these meeting bullet points:
- Data: what was observed, reported, and occurred during the meeting
- Assessment: your clinical impression
- Plan: next steps and services

The quality of the note depends on the quality of your bullet points. Create a simple shorthand system:
Even 4–5 abbreviated notes captured immediately after the meeting are enough for ChatGPT to produce a solid progress note.
What you should see: A jotting system that takes 60 seconds per meeting to use, then produces a 3-minute ChatGPT note.
The biggest risk is forgetting to jot notes immediately. Establish a habit:
Total: 5 minutes per note, notes completed same day, accurate while memory is fresh.
Standard In-Person Meeting Note:
Write a case management progress note from these bullet points. Format: date, in-person meeting, presenting status, progress on goals, services provided, referrals, next steps. Professional tone, 120-150 words. [Paste bullets]
Home Visit Note:
